Our approach

Ethos Workplace Interiors is a registered business name operated by Buy Rite Office Furnishings Ltd. In this policy, “Ethos”, “we” and “us” mean Ethos Workplace Interiors and Buy Rite Office Furnishings Ltd. We are a workplace interiors business based in Vancouver, British Columbia. This policy explains what personal information we collect through this website and our communications with you, why we collect it, who may handle it, and the choices you have. “Personal information” means information about an identifiable person, such as a name or email address.

We handle personal information in line with British Columbia’s Personal Information Protection Act (PIPA) and, where it applies, Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA). We follow Canada’s Anti-Spam Legislation (CASL) when we send commercial emails.

What we collect, and why

Contact form. If you use the form on our Contact page, we collect the details you enter: your name, email address, company, timeline, the area you need help with, and any comments. We use them to respond to your enquiry, discuss your project and, where relevant, prepare a proposal. Form submissions are emailed to us and also saved in the database behind this website so we can follow up.

Newsletter sign-up. If you subscribe to our newsletter, we collect your email address and record when you signed up. We use double opt-in: we send a confirmation email and only add you to the list after you click the link in it. We store only a partly masked version of your IP address. We use your email address to send you Ethos news and insights. Our newsletter emails may record whether they are opened and which links are clicked, so we can see what is useful. You can unsubscribe at any time using the link in any newsletter email or by contacting us.

Social media. We have LinkedIn and Instagram pages, linked from the footer of this site. Those links simply take you to the platform, which has its own privacy policy. We do not embed social-media plugins or tracking pixels on this site.

Email and phone. If you email or call us, we keep the correspondence and the details you share so we can help you and keep a record of our conversation.

Technical information. When you visit, our web server and hosting provider typically log technical details such as your IP address, browser type, device, the pages requested and the date and time. We use this to keep the site secure and working properly.

By submitting a form, subscribing, or contacting us, you agree to us using your information for the purposes described in this policy. You can withdraw that consent at any time, subject to legal or contractual limits, by contacting us.

Cookies, analytics and third-party content

At launch, this website does not use advertising cookies, social-media tracking, or website analytics. It may store small pieces of information in your browser that are needed for the site to work or to remember a choice, such as that you have dismissed our privacy notice.

We do not currently use website analytics. If we start using an analytics tool (for example, Google Analytics), we will update this policy and our site notice before it begins, explain what it collects, and give you a way to decline.

Some content on this site is loaded from other providers. Our fonts are delivered by Google Fonts, some site code is delivered through public content delivery networks (jsDelivr and jQuery), and our Contact page shows an embedded Google Map. When your browser loads this content, those providers receive technical information such as your IP address and browser details, and their own privacy policies apply.

Who we share information with

We use service providers to run this website and our business, such as web hosting, email (hosted by Namecheap), our website form and newsletter tools, and the font, map and code-delivery services noted above. They may access personal information only as needed to provide their services. Enquiries and correspondence you send to Ethos are handled by the team at Buy Rite Office Furnishings Ltd., which operates Ethos, and may be recorded in the company’s business systems, such as email and customer-relationship tools, so we can respond to you and manage our relationship with you. We do not sell or rent personal information to third parties. The service providers described in this policy, such as website hosting, email, WordPress and other software providers, and professional advisers such as our accountants, handle information on our behalf so we can run the business. That is not a sale of personal information. We may also disclose information when the law requires it, or as part of a sale or restructuring of our business, in which case the recipient would be expected to protect it in line with this policy.

Storage outside Canada

Some of our service providers, including Google and Namecheap (our email provider), may store or process information outside Canada, including in the United States. Information held in another country may be subject to that country’s laws and may be accessed by its courts, law enforcement or other authorities.

How long we keep information

We keep personal information only for as long as is reasonably necessary for the purposes it was collected for and to meet applicable business and legal requirements. When we no longer need it, we delete it or make it anonymous. If you unsubscribe from our newsletter, we stop sending it to you.

How we protect information

We use reasonable safeguards to protect personal information, including secure (HTTPS) connections on this website, restricted administrator access, and security tools provided through our hosting. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

Your choices and rights

You can ask to see the personal information we hold about you, ask us to correct it, withdraw your consent, or ask us to delete it. To do so, contact us using the details below. We will confirm your identity, respond within 30 days, and explain if we cannot fully meet a request. To stop newsletter emails, use the unsubscribe link in any email or contact us.

If you are not satisfied with our response, you may contact the Office of the Information and Privacy Commissioner for British Columbia or the Office of the Privacy Commissioner of Canada.
